Minutes for Port
Royale Association meeting held on
The new board officers are:
Sheila Benson President
Judy Stites Vice President
Bob Jakubeck Treasurer
Carolyn Wilson nominated for Secretary, waiting for her reply.
Board Members in Attendance were Sheila Benson, Judy Stites and Bill Blair.
Bob Jakubeck was to attend but sleet kept him from coming.
Agenda
Appoint Secretary to board:
Waiting on Carolyn Wilson answer.
Bylaws change regarding rental language in bylaws and rules:
Tabled until further review.
Power washing of building:
To be scheduled after the pollen season in May. Board to let homeowners
know the date, when set, by e-mail.
Pool furniture:
Bill has found that quality furniture is pretty expensive. Board is
discussing whether to start replacing some furniture each year.
Treasurer:
Board asking Bob Jakubeck to be added to Port Royale bank accounts. If
not Bob, a board member will be added to accounts so that if Terry is out of
town, someone has access to Port Royale monies.
Audit:
Will be done this year.
Sign on top of hill "Is Your Water Turned Off?":
A nice sign will be placed on hill to remind people, as they are leaving, to
turn their water off. Sheila has seen this at other complexes.
Trees:
Discussed by board with homeowner and Carefree Caretakers. No other
action to be taken.
Carefree Caretakers:
Discussed how to handle any problems and/or complaints at Port Royale. Decided that homeowners will be instructed to
tell Sheila Benson or if Sheila is not available tell Judy Stites
of any problems or complaints. They will be giving Charlie lists of things to be taken care of
Other Business:
Board had a conference call meeting with Charter representative, she couldn't
make it down the hill because of the sleet. Contract is being drawn up
and should be to the board within two weeks. Board will decide and vote
on the Internet service after reviewing the contract. The representative
did say that many of the new complexes are installing bulk Internet service.
After reviewing the bylaws, page 16, #8.4.2 states that a copy of everyone's
insurance polices are to be on record with Port Royale, the Board will be asking homeowners to get this
information to Terry Heig.
