Port Royale Annual Meeting

November 7, 2004

 

The annual meeting of the Port Royale Homeowners was held on November 7, 2004 at 10:00 A.M. at Central Bank in Laurie Mo.

 

Meeting was called to order by Jeff Lang President.

 

The following Board Members where present: Lori Robbens, Jeff Lang, Jim Alspaugh, and Terry Heig.  Absent Michelle Sabo.

 

19 homeowner including board member where present.

 

Election of new board member was held.

 

Reviewed current year expenses and the budget for 2005.  The budgeted amount of $12,900 was transferred to reserves this year.

 

Reviewed the Parking lot survey that was taken over the Memorial Day, Fourth of July, and Labor Day Weekends this past year.  Memorial Day and Labor Day weekends there was always parking available. On the Fourth of July there was a couple times when there where no parking spots available. Based on the survey results the board does not feel that it is necessary to build a parking lot on top of the hill, and maintain it for only a couple days a year.

 

Discussion of the bugs and dirt on the eves on the lake side of the building was discussed. Terry will talk to Charlie from Carefree Caretakers and see if we can hire a power wash company to come in and power wash the buildings this fall or first thing in the spring.

 

Talked about the need for storage for the condo’s maintenance. We have contacted and excavator to come in and level a spot, part way up the hill so we can move the trash dumpster and build a storage shed. There will also be some space to park extra cars on busy weekends. The excavator has been delayed because of all the bad weather.

 

The questions came up about hooking into the sewer system. At one time we where told it would be about six months, haven’t heard anything else about it. The question of what it would cost was asked. We where told by Bob Harrison that it would cost about $30,000.00 to hook up. Bob Harrison needs to do about a $60,000.00 upgrade to our current system. He has delayed the upgrade in hopes that we will be hooked up to the sewer system. Bob will pay the $30,000.00 if he doesn’t have to pay for the upgrade. If Bob does the upgrade, then the association would be responsible for the hook up to the sewer system.

 

A request was made that we send out copies of the Homeowners Directory via of email more often. Terry said he would send it in the next couple of days, and make sure it is done on a more regular basis.

 

Terry said that we are looking at setting up a web site on the internet. We would look at posting budgets, financial reports, rules, By laws, Homeowners Directory, and Newsletters on the site. Asked people to think of other things they might like to see on the web site.

Talked about the no wake zone that Broken Arrow has applied for. It is our understanding that it will be no wake on weekend and holiday only, and that it will be from the opening of the cove past there docks into our cove.

 

Talked about rule violations and what needs to be done to resolve issues. Those present didn’t feel that we had any big problems and that they didn’t want to hire a security person for weekends. The group was against any type of fine system. It was decided that if we continue to have problem that the Sheriff or the Shore patrol should be called. It was suggested that, to get a better response from the Sheriff or the shore Patrol that several people call when there is a problem.

 

Election Results: Jim Alspaugh and Charlie Roth where elected to the board, serving two year term thru November 2006.

A short Board Meeting was held after the Annual Meeting to elect officers for the next Year.

A motion was made and seconded that the Vice President will always become the President the folllowing year.
